9.2. Creating Add-ons

Now that you have a good understanding of the Add-Ons Form let's create one of each type of add-on (required, optional and choice set).

First, we will start with a basic "Optional" add-on. For this example, we will create a Shuttle add-on to provide round trip transportation to and from the river for those guests requiring transportation. Our shuttle has plenty of seats to accomodate the max number of openings we have alloted for this trip so we will not need to worry about inventory constraints. There is an additional cost for the Shuttle add-on of $50 per person. To set this up we will complete the Add-Ons Form as follows:

Notice that we selected "Optional" for the Type field and entered an "Online Description" and our price of $50. We also told Arctic to include this add-on by default. Remember, this will mean that this option is automatically selected for your guests when they make a reservation but they can choose to "opt-out" of the service. This add-on does not have any fees or taxes associated with it so we are now ready to continue adding the other Add-Ons for this Trip Type.

Now, let's create a "Set of Choices" add-on. The choices are for Boat Preference. For this tour, we offer our guests the choice of a 4 Person Raft or Double Kayaks. All of the options are included in the standard tour cost so there will be no additional price for the boat selections.

First to add an additional add-on to this Trip Type, click the blue "+Add Add-Ons" link as shown here to get a new Add-Ons Form:

Our first boat choice is the 4 Person Raft. So we will enter the name of the add-on as "4 Person Raft" in the Name field. The Add To field will remain as "Reservation Guest". The Type field will be "Set of Choices". Notice once you select "Set of Choices" for the Type field, Arctic will give you a field to name the "Choice Set". For this example we will name it "Boat Preferences". You will need to make sure to use the same name for the "Choice Set" for every choice in the set. For instance, we will use the "Choice Set Name" of "Boat Preferences" for the 4 Person Raft add-on and the Double Kayak add-on.

Note: It is important to make sure you use the exact same name for all of the choices in the set; otherwise Arctic will think you are creating multiple choice sets. However, if you do accidentally make a typo on a "Choice Set Name", when you click "Submit" to save your Trip Type, Arctic will tell you that you only have one option in the choice set and you need more than one. If you see this, it is most likely that you have made a mistake in the "Choice Set" name. Check the names and make the correction in order to save your trip type.

So far, our 4 Person Raft Add-Ons Form looks like this:

Now, we will complete the rest of the Add-Ons Form for the 4 Person Raft in our Boat Preference "Choice Set". The completed form looks like this:

Notice that we left the price at 0.00 because we offer our guests the option to choose what kind of boat they want for the tour but both selections we offer are included in the cost of the trip. Since there is no price associated with this add-on, we also don't need to assess any fees. Also note, that we set the "Included By Default" as "Yes". This means the 4 Person Raft will be the default selection for the Boat Preference "Choice Set". You can only have one add-on in a "Choice Set" set as a default selection because your guests must choose only one of the options. If you set more than one of the add-ons in a "Choice Set" to be included by default, Arctic will warn you when you try to save the trip type.

To complete our Boat Preference "Choice Set", we need to add the second option we offer. This add-on is our Double Kayak add-on. The Add-Ons Form for the Double Kayak will be completed the same as the 4 Person Raft. Remember, it is important to make sure your "Choice Set Name" is exactly the same as the one you entered for the 4 Person Raft. This is what our completed Double Kayak Add-Ons Form looks like:

Notice that we made the "Include By Default" field "No". This is because we had already chosen to include the 4 Person Raft by default and we can only have one default selection in each "Choice Set" we make.

This completes our Double Kayak add-on and our Boat Preference "Choice Set".

The final add-on we need to create is a "Required" add-on for our trip. This add-on is for life-jackets. To create this add-on, click "+Add Add-Ons" to get a new Add-Ons Form.

Note: It is only necessary to create Required add-on's if there is an inventory constraint associated with the item. If you have pieces of equipment that you provide for every guest but do not have an inventory constraint to manage for those items, you do not need to create a "Required Add-On". If you do, Arctic will not error on the creation but the add-on will disappear when you click "Submit" to save your changes. The reason is because it is unnecessary to track these items in any way (required add-ons do not add any cost, nor appear in any trip summary, and without an inventory constraint, they do not impact availability).

Our life jackets are required for every guest and we do have an inventory constraint for the jackets. For this add-on our completed Add-Ons Form will look like this:

Notice that since this is a "Required Add-On" that we were not able to enter any additional pricing or fees associated directly with the add-on. This is because as a "Required Add-On", it is considered to be included with the trip costs and fees you set up for the "Trip Type" or "Trip" itself. This is also true of the "Online" fields. This item is considered an integral part of the trip and therefore does not need its own online description. And, by making the add-on "Required", we have told Arctic to include it by default for every guest who makes a reservation on this trip. Now we are ready to add the required inventory for this "Required Add-On".
