1.10. Step 9: Creating Rental & Inventory Items

To create rental items, go to the "Rentals" menu on the left of the screen and choose "Items"; this will take you to the "Browse Rental Items" page. To add a new rental item, click "+ Create Rental Item" as shown here:

After you click "Create Item", you will be presented with a four to five tab form (depending on your Arctic Configuration). Each tab includes instructions, and many fields have instructions below them as well. Below, we will review each tab and point out key things to review while creating rental items: 

  • General Tab: On the general tab, first you will tell Arctic which business group the new rental item will be associated with by choosing the appropriate group from the drop down menu. You can also enter basic details such as rental name, initial quantity, scheduled increment, minimum duration, recovery time and color code.
  • Pricing Tab: This is a very important tab. On the pricing tab, you can configure some key settings. This tab and its settings will be used for all reservations booked for the rental, so it is key to add all fees or charges (besides the primary rental costs). This tab allows you to set different pricing levels. You can also choose which prices show online and set up dynamic pricing that will allow you to tell Arctic if the price is different depending on the day of the week or if it's a holiday. You can assign an "Account" (Step 1: Settings>Invoicing>Manage Accounts) to the rental item for accounting purposes and also add any additional fees associated with the "Rental Item" like cleaning fees, taxes etc.
  • Online Rentals Tab: If you have the Online Reservation module and turn on online reservations, then you can use this tab to create an online booking name, a description and image, as well as setting cut off times for taking last minute online rental reservations.
  • Forms Tab: The forms tab will allow you to select the registration form (Step 8) that you created to use for this rental item. As mentioned above you can create custom registrations for each rental item that you offer so you will only collect the information specifically needed for each item. 
  • Attachments: Here, you can select previously uploaded attachments (Step 6). These attachments will be available when e-mailing rental reservation details and invoices. In addition, they will be available in the Complete Reservation Module for users to download at their discretion.
  • Set Items: If you have enabled Rental Item Sets on your installation (Step 1: Settings>Rentals>Enable Rental Item Sets), you can add the items that are part of this set to the tab and specify when they should be allocated. To earn more see Creating Rental Item Sets.

Once you have entered all the details above, you will have successfully setup your first rental item! Press "Submit" at the bottom of the page to save your settings.

In order to test your rental item setup, create a test reservation for the new rental item. Make sure that the invoice and pricing appear as expected.
